Responsilbilities: • establish and maintain accounting practice according to the requirement of usaid and the urban institute to ensure accurate and reliable data necessary for project operations. / • maintain administrative and financial files, including, accumulated leave record, equipment and furniture inventory, procurement files, financial reports, and necessary correspondence. / • prepare and submit advance funds request monthly together with a monthly expense report on project cash needs. / • maintain records of routine accounting transactions; prepare reconciliation of travel advances, petty cash, bank account and expenses; district assistance office monthly expenses reports and send them to the dtw project headquarter in islamabad. / • be responsible for timely payment of all utility and communication bills (electricity, water, gas, telephone, cell phones and internet.) / • review invoice, bills, voucher, or other documents for accuracy and competences before entering in to records. sort and files documents, and perform calculations. / • assist the district assistance officer staff member in scheduling meetings outside the offices. / • maintain a daily log book of district assistant office staff location (in the office, on annual leave, casual leave, of sick leave, etc.) / • make in-country travel (including flight reservation and travel by project vehicle or hired vehicle and drivers) and hotel arrangement for district assistance office and visiting staff members. / • maintain up-to-date project administration record, incliding but not limited to accumulated leave, non- expendable equipment and furniture inventories; suppliers and project vehicle ownership and maintenance records. / • create and maintain f filling system for the district assistance office. / • arrange for the timely purchase of consumable office and cleaning supplies for the district assistant office. / • keep liaison with dco and dpo for regular security update and inform the head of district assistance office and the project administration manager / • (security focal person) and take appropriate precautionary measure as advised by them. / • perform any additional tasks assigned by the lead advisor of the district assistance office. / • respond in a timely and accurate manner to inquires and request for respect for reports from the dtw project administration manager, finance manager, and assistant finance manager, as required.
